The client
BSFab, trading as Bapasitaram Fab, weaves fabric in Surat, Gujarat. The company started in 2004 and now runs six manufacturing units making grey fabric, Brasso, Jacquard, viscose and polyester, plus digital prints. By its own count it produces more than 35 million metres a year for over 2,000 buyers.
How orders were handled before
Every enquiry came in by phone. The team wrote the buyer's requirement on paper, worked out a quote and called back. Sample requests, order progress and payment reminders lived in the same notebooks and in people's memory. To answer a buyer's question, someone had to find the right page or the right colleague.
What we built
We built one system that follows each buyer from the first call to the final payment. It runs in the browser for the office and as a mobile app for anyone away from a desk. Nine modules cover the work:
- Enquiry capture. Every buyer request becomes a record the team can search, instead of a line in a notebook.
- Quotations. Quotes are prepared from the enquiry, so the price and the request stay linked.
- Sample tracking. Each sample request has its own status, so nobody has to ring the factory to check.
- Order status. Confirmed orders carry a status the whole team can see.
- Payment integration. Buyers pay through Razorpay and the payment is recorded against the order.
- Payment follow up. Pending payments sit in one list, so the team knows who to call and when.
- Analytics. Dashboards show enquiry, quotation and order volumes over time.
- Reports. Reports on enquiries, orders and payments can be pulled without asking a developer.
- User roles. Each person sees the screens that match their role.

How we built it
A team of seven delivered it: one technical architect, three developers, one DevOps engineer and two designers. The build took four months. We used AI assisted development throughout, which kept a seven person team moving across web, mobile and backend at the same time.
The backend is Python on FastAPI. The web app is Next.js and the mobile app is React Native. Data lives in PostgreSQL, Redis and MongoDB. Everything runs on AWS, and payments go through Razorpay. The system went live at BSFab in August 2026.

If your orders still live on paper
If your factory handles enquiries by phone and tracks orders in notebooks, the same approach works for you. Start with the enquiry, link the quote and the sample to it, and let the payment close the loop. Talk to us about a CRM for your factory.
